Identify where opportunities disappear
Begin with five recent opportunities, including one that became a customer and one that stalled. Reconstruct how each arrived, who owned the next step, what information was missing and when the team lost confidence in the record. This exercise is more revealing than collecting a long list of CRM features. If your problem is unclear follow-up, buying more prospect data may simply create more neglected contacts.
Separate four jobs: finding potential customers, maintaining relationships, moving active deals and understanding where leads came from. A product can cover several jobs, but the purchasing decision should still name the one that matters most. Write a concrete requirement such as “every open proposal has an owner and a next action” rather than “we need sales automation.”

Avoid building elaborate automation before the team agrees what each stage means. Otherwise the system can move inaccurate records faster without making the forecast more useful.
Give the team a small set of required fields. Every additional field needs a decision it supports and a person who will keep it accurate. Measure the time needed to update a record after a real conversation. A theoretically complete database that nobody maintains will underperform a simpler one that the team trusts.
Compare the full operating cost and exit path
Estimate paid seats, prospecting usage, calling charges, messaging charges and integration costs separately. Add the internal time required for importing records, cleaning duplicates and teaching the team. Ask vendors to quote the plan that supports your tested workflow rather than the cheapest advertised tier.
Before an annual commitment, export a small sample. Check whether the exported data preserves the relationships and notes you need. Identify the process for removing access when an employee leaves and for transferring their opportunities. These are ordinary operating tasks, so they should not require a rescue project later.
